Set It and Forget It: Mastering Chiropractic Care Plans with Turncloud

A great care plan is more than a number scribbled on an intake form. It is a structured journey, phased, tracked, and tied to the right codes, that keeps patients on course and your billing clean. Turncloud’s Care Plan Manager lets you set it up once and let the system do the counting. Here is how to master it.

What a Care Plan actually is

In Turncloud, a Care Plan is a structured package of visits and services, say a 24-visit corrective plan over 12 weeks, that organizes treatment into phases, controls which CPT codes count against the plan, and automatically tracks the patient’s progress as visits are documented.

Step 1: Build the plan shell

Go to Administration > General > Care Plans and click + New Care Plan. Name it something your team will recognize at a glance (for example, “24 Visit Care Plan”), set the effective date, and enter the total duration and total visits. Add a plan goal so everyone understands the intent.

Step 2: Add phases of care

Each plan is broken into phases, such as Acute, Corrective, and Strengthening. For each phase, set its order and goal, then click Manage Services to add service categories. Under “Adjustments,” for example, you might add 98940, 98941, and 98942. Phases are independent, so the codes that count in Phase 1 do not have to match Phase 2.

Step 3: Map a fee schedule

Under Administration > Ledger Settings > Fee Schedules, map the case to the right fee schedule so charges are correct at the visit. Tip: map both your default and the care-plan fee schedule to the case, and providers will see every available service on the Visit/EHR screen, neatly categorized, while the plan still tracks correctly.

Step 4: Attach the plan to the patient

Open the patient’s file, click Case, add a new case, then Care Plans > + Map Care Plan. Select the plan and case, set the effective date (usually the day the patient commits to care), and you are done.

The payoff: automatic tracking

From that moment on, every time a provider documents a plan treatment on the Visit/EHR screen, the Care Plan tracker counts the visit automatically. No spreadsheets, no manual tallies, no guessing whether a patient is on track. Adherence becomes visible, billing stays aligned, and you get to focus on care instead of bookkeeping.
